Booking Terms & Conditions

1. BOOKING:
Registrations for activities must be submitted in writing to the Institute of Mercantile Agents (IMA) as Local Partner of ICM and accompanied by payment at which time the registrations shall be processed. Registrants shall be liable for payment in the event of non-attendance unless cancellation is made in accordance with the cancellation policy below.

2. CANCELLATIONS:
Cancellations will be permitted up to eight (8) working days prior to the start of the event. An administration fee of 20% of the total registration fee (incl GST) will be incurred for cancellations made up to this time.  No refunds will be issued from eight (8) days prior to the event, except in exceptional circumstances eg major illness or bereavement (a doctor’s certificate must be presented to support any claim). All cancellations must be in writing.

3. SUBSTITUTIONS:
Substitute participants of equal value are allowed at any time until 1 week prior to the event.

4. ALTERATIONS TO EVENTS:
Every reasonable effort will be made to provide the event as advertised to the registrant. IMA takes every care to ensure that the descriptions of events are accurate but recognises that errors do sometimes occur. IMA reserves the right to make any alterations to event arrangements, including changes in time, date and venue, modifications in programs or provision of alternative transport and facilities, deemed necessary and shall not be obliged in the case of any alteration or cancellation to provide a refund of monies paid by any registrant. IMA has no responsibilities for any such errors or modifications.

5. EXCLUSION OF LIABILITY:
A.IMA is not responsible for loss, damage or injury to any person or to their property as all registrants attend events organized by IMA at their own risk.
B.IMA accepts no responsibility for circumstances beyond its control including but not limited to force majeure terrorist activities, weather conditions, fire, any breakdown or non supply other than such matters as are directly under the control of IMA.
C. The registrant is responsible for all damages caused by any member of the registrant party.  The IMA reserves the right to require any person whose behaviour is, in the sole opinion of the Executive Director of the IMA likely to cause inconvenience, nuisance, difficulty or offense to other persons at the event to immediately leave the premises and the registrant shall co-operate to procure compliance with such requirement and in such eventuality no refund shall be made from IMA to the registrant.

6. COMPLAINTS & DISPUTES:
In the event of any complaint, the registrant is required to notify IMA in writing within 7 days of the occurrence giving rise to such complaint. In the event of the complaint not being resolved to the satisfaction of the registrant both IMA and the registrant agree that such complaint may be referred to the CEO of ICM for adjudication whose decision shall be final and binding on the parties.

7. GENERAL
These terms and conditions are governed by the laws of Australia.

8.PRIVACY STATEMENT:
The IMA is committed to protecting the privacy and security of personal information
provided by the registrant. The personal information provided in this form will be used by the IMA in accordance with its by-laws and specifically to: contact you in event of cancellation; and conduct analysis or market research to identify the ongoing needs of registrants. The IMA may disclose the personal information provided in this form to external service providers to whom we have contracted out functions, but only for the purposes outlined above. You have the right to access any personal information which the IMA holds about you subject to the exceptions in the Privacy Act 1988 (C’th). You may also request the correction of information which is inaccurate. Access and/or correction requests can be made at the IMA’s National Office.
